**Job Duties & Responsibilities:**
+ Provide document production assistance using Word, Excel, and PowerPoint as needed.
+ Communicate with external organizations as required such as consulting engineers, building owners, and other contractors to ensure accurate and timely response.
+ Engage with service customers to ensure Climatec consistently exceeds commitments.
+ Follow up on customer issues promptly, ensuring timely and accurate communication.
+ Keep the service management system updated and employ it to achieve maximum productivity.
+ Review Technical Service Agreement (TSA) documents and prepare bookings for internal and external purposes.
+ Ensure the comprehensive scope of the TSA is executed and scheduled appropriately.
+ Assist in creating and closing out service agreement service orders.
+ Manage the scheduling of technicians for all service agreements efficiently.
+ Coordinate with the Service Coordinator(s) to oversee day-to-day scheduling for emergency and Time & Material (T&M) calls.
+ Identify pull through work opportunities and coordinate with sales and/or service coordinators for documentation, pursuit, and booking.
+ Track costs for each contract and ensure budget and forecast goals are achieved.
+ Assist with service agreement financials as applicable
+ Work closely with the Collections department and other employees as required to ensure timely collections for service agreement invoices.
+ Coordinates with service sales as applicable for TSA renewal and escalation
+ Pays strong attention to detail as it pertains to duties assigned
+ Additional duties as assigned
**Skills & Qualifications:**
**Minimum Qualifications:**
+ Minimum of high school diploma
+ Intermediate proficiency with Windows applications, primarily Word, Excel, PowerPoint, and Outlook
+ 1+ year in office management and/or administrative support role
+ 1+ year working experience with strong business/customer service/support acumen further facilitating and executing excellent organization skills, accuracy, and dependable work habits
+ Pays strong attention to detail
+ Ability to perform under difficult conditions, such as simultaneous deadlines
+ Ability to plan work and sequence priorities
+ Ability to take and direct customer calls for assistance, information, complaints, etc.
+ Demonstrated ability to empathize with others' perspectives and creatively resolve issues to achieve positive outcomes and satisfaction for customers and employees.
+ Clear and concise communication skills, both verbal and written.
**Preferred Qualifications:**
+ An associate's degree in a relevant field (business administration, customer service, or a related technical field)
+ Preferred advanced knowledge in Excel
+ Coins, Service Trade software experience
+ A strong business and financial awareness
